BikriBoss — User Guide
From first steps to daily operations: a practical guide in ten chapters.
1. Getting Started
- Choose Create New Account. Enter your 11-digit Bangladesh mobile number and request a verification code. Enter the six digits once; verification starts automatically.
- After phone verification, enter your name, business name and business type. Set a password if offered. Existing OTP-only users are prompted to add a password in Security. Never share passwords or verification codes.
- Sign in with phone and password, or choose Login with OTP. OTP is attempted through WhatsApp first, with SMS fallback when configured. Forgot Password starts a separate recovery flow. A supported passkey is another option after enrollment.
2. Dashboard Overview
- The dashboard summarizes sales, orders, stock alerts and outstanding dues for the selected period. Check the date range first: the default month view is not the same as today. Select a daily range to review today’s activity.
- Use the weekly chart to compare trends and open the related orders or products to investigate changes. Sales/profit reports are delivery-based; older entries without a delivery date may be marked estimated.
- Review low-stock alerts before confirming more orders. A due amount is money still owed, not a completed payment. Staff access determines which financial details are visible.
3. Adding Products
- Open Products and choose New Product. For a simple product, enter its name, cost price, selling price, opening stock and low-stock threshold. Add a SKU and expiry date where applicable.
- For variant products, define size/color options and create the combinations you actually sell. Check each variant’s price, SKU and stock rather than assuming every combination has the same quantity.
- Use stock adjustments with a reason to correct inventory. Archive products no longer sold instead of deleting their history. Confirmed/reserved orders affect available stock; do not make duplicate adjustments.
4. Creating Orders
- Choose New Order. Search or add the customer by phone, select products/variants and quantities, and confirm stock availability. Check the recipient’s phone and full delivery address.
- Review discounts, delivery charge and any advance payment. Due equals total minus paid. Save the order and use its unique order number for follow-up; do not create a second order merely to retry a slow request.
- A typical path is NEW → CONFIRMED → DELIVERED, with PROCESSING/SHIPPED steps where used. Use the offered transitions for cancellation or return; delivered returns and refunds are explicit actions. Record payments separately and check stock effects before confirming.
5. Courier Parcel Booking
- Open an eligible order and choose Book Parcel. Select an active Steadfast, Pathao, RedX or Paperfly service. The platform team manages all API credentials; merchants do not enter keys, tokens or webhook URLs.
- Check recipient details, weight and COD. Select a pickup point and destination area where the carrier requires them, then Confirm Booking. Test-labelled services simulate a booking and do not send a real parcel.
- The tracking number appears on the order after successful booking. If the result is uncertain, contact support rather than booking again. Courier tracking does not automatically deliver an order, change stock or issue a refund.
6. Customers
- Use Customers to search by phone/name, update contact details and review order/payment history. Keep one accurate profile per customer rather than creating duplicate phone records.
- Automatic tags help identify purchasing patterns: VIP, REGULAR, RISKY and INACTIVE, alongside NEW. Tags follow order, spending and overdue/inactivity rules; they are not guarantees of a person’s creditworthiness.
- Check the actual due ledger before contacting a customer. Deactivate unused profiles without losing existing order history, and share customer information only with authorized staff.
7. Finance & Reports
- Record business expenses with the correct date, category, amount and note. Review entries before saving so expenses are not counted twice.
- Open Sales, Profit, Due or Product Performance reports and choose a date range. Delivery-based revenue is different from orders created today. Profit considers product cost and recorded delivery/expense amounts.
- Reconcile paid/due amounts against actual receipts. Reports depend on correctly recorded business events and are not a substitute for professional tax or accounting advice.
8. Invoices
- Open an order’s invoice and choose Minimal, Professional or Thermal 80mm. Check business branding, customer details, items and totals before printing.
- Download the invoice PDF or use the print option. Match printer paper size to the template, especially for an 80mm thermal printer. Set the logo, footer and terms in Business Settings.
- Use the WhatsApp sharing action to prepare a message. If you want to send the PDF itself, attach the downloaded file in WhatsApp and confirm the recipient before sending.
9. Team Management
- Owners can create staff accounts for the same business. Choose Manager, Sales or Delivery permissions appropriate to the person’s duties; do not share the Owner password.
- Managers have broader operational access. Sales and Delivery staff have restricted tools. A hidden or unavailable action may be a role restriction, not a software fault.
- Deactivate former staff promptly. Owners can reset Managers/Employees; Managers can reset Employees only, not other Managers or Owners. Password resets revoke existing sessions.
10. Settings & Security
- Update business name, address, contact information and logo in Settings. Uploaded logos are resized/compressed; always check the invoice preview after a branding change.
- Use Billing to review the current plan, usage limits and subscription requests. Review receiving/payment instructions carefully and keep the payment reference for support.
- Security lets you change your password and enroll/remove passkeys. Enroll using HTTPS on bikriboss.com in a supported browser shortly after signing in. Device PIN may be used instead of a fingerprint. Facebook/Instagram in-app browsers may require opening Chrome or Safari.
